Sales Invoice Process User Guide¶
This guide explains how to manage and process Sales Invoices generated from the Order-to-Cash (O2C) workflow.
1. Accessing Sales Invoices¶
Navigate to Sales > Sales Invoices from the sidebar. You will see a list of all invoices generated by the system.
2. Understanding the Invoice List¶
The list provides a high-level view of your billing status: * Date: The date the invoice was generated (linked to delivery). * Number: The unique system reference for the invoice. (See Document Numbering Guide for format details). * Source: The original Sales Order or Delivery Order reference. * Customer: The legal entity being billed. * Status: Indicates where the invoice is in its lifecycle (Pending, Submitted, Printed, Paid).
3. Key Operations¶
3.1 Viewing Details¶
Click on any row or the Eye icon to view the full details of an invoice, including line items, VAT breakdown, and the linked Delivery Order.
3.2 Printing and PDF Generation¶
To provide a physical or digital copy to your customer: 1. Locate the invoice with the SUBMITTED status. 2. Click the Print/File icon. 3. The system will generate a PDF. 4. Note: The status will automatically update to PRINTED once the first copy is generated.
3.3 Confirming Payment (For Cash/Immediate Sales)¶
For invoices that require immediate settlement: 1. Click the Check icon (Confirm & Mark as Paid). 2. This will transition the invoice from PENDING to PAID and generate the appropriate accounting entries.
4. Search and Filtering¶
Use the search bar at the top to filter by customer name or invoice number. The system uses a fast, debounced search that updates as you type (with a subtle 300ms delay for performance).
